AIDS Healthcare Foundation (AHF) is a global nonprofit healthcare organization providing advanced HIV treatment, testing, and prevention services in more than 50 countries. AHF-Ethiopia supports 28 public health facilities and an AHF clinic, delivering HIV services to over 93,000 clients across multiple regions including Addis Ababa, Oromia, Amhara, Sidama, and Tigray.
Position Summary
The Administrator ensures smooth daily operations of the AHF-Ethiopia office through effective administration, HR support, asset management, inventory control, and compliance with organizational policies. The role works closely with the Operations Officer and the Finance & Administration Manager to maintain a well-functioning and organized work environment.
Key Duties and Responsibilities
Office Administration & Coordination
- Oversee daily office operations and maintain a clean, organized workspace.
- Support departments with administrative tasks and communication.
- Assist with personnel administration including attendance and staff records.
- Coordinate meetings, internal activities, and office logistics.
- Manage office documentation and filing systems.
- Ensure adherence to administrative and HR policies.
Human Resource Administrative Support
- Support recruitment logistics and onboarding processes.
- Maintain staff files and track leave records.
- Assist in preparing HR reports and performance appraisal documents.
- Maintain confidentiality of employee information.
Office Property & Facilities Management
- Monitor and maintain office furniture, equipment, and premises.
- Coordinate maintenance requests and service provider visits.
- Manage contracts for security, cleaning, and utilities.
- Update the office asset register and track asset movements.
- Support insurance documentation and asset verification.
Inventory & Supplies Management
- Manage office supplies and maintain appropriate stock levels.
- Record inventory transactions and reconcile monthly.
- Prepare and submit inventory usage reports.
Financial & Bookkeeping Support
- Manage petty cash and ensure accurate reconciliation.
- Process payments for utilities, rent, and service providers.
- Maintain administrative and financial documents for audit readiness.
- Support monitoring of administrative budgets.
Safety & Security
- Support office safety, health, and security protocols.
- Coordinate with security and cleaning service providers.
- Report incidents or risks to the Finance & Administration Manager.
Other Responsibilities
- Perform additional tasks assigned by the Finance & Administration Manager.
Required Qualifications
- Bachelor’s degree in Business Administration, Management, HRM, or related fields (Master’s preferred).
- Minimum 5 years of experience in office administration, HR, or administrative finance roles.
- Experience working with international NGOs, preferably in HIV/AIDS or healthcare sectors.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and basic accounting software.
- Strong English and Amharic communication skills.
- Ability to work independently, manage time, and handle multiple tasks.
- Strong interpersonal and teamwork abilities.
