ICOS Consulting PLC is looking to hire a skilled and driven Administrative Assistant for a full-time position. The chosen candidate will deliver administrative and clerical assistance to facilitate the effective functioning of the office.
We are in search of a flexible, organized, and proactive Administrative Assistant to aid our primary office and affiliated companies. This distinctive role combines conventional secretarial responsibilities with vital accounting tasks. The perfect candidate will guarantee the seamless daily operation of the office while keeping precise financial records and providing support.
Position 1: Junior and Senior Researchers/ Analysts
Job Requirements:
- At least master’s degree preferably in research, economics, business administration, development studies, monitoring and evaluation, statistics, data science, business analytics, marketing, public health , and other research related fields.
- Bachelor’s degree holders with exceptional academic performance and talent in research may also apply.
- For master’s degree holders, CGPA of 3.6 or above (of a possible 4.0) or equivalent score at both at graduate and undergraduate levels from a reputable and an accredited university.
- For applicants with only bachelor’s degree, CGPA of 3.8 and above or equivalent score is required.
- Outstanding and broad quantitative and qualitative research expertise
- Excellent written and oral communication skills
- Fluency in English language is a must
- Ability to work collaboratively within and across teams
- Strong statistical and mathematical aptitude.
- Demonstrated ability with statistical modeling, experimental design, research design, sampling, clustering, data reduction, confidence intervals, testing modeling or predictive modeling
- Proficiency in one or more statistical programs, as well as advanced-level MS Office skills
- Ability to communicate the most complex analytics and results in a clear, understandable approach, written and verbal, to both internal and external clients
- Detail-oriented and highly-organized, able to consult on multiple projects and tasks simultaneously, and have an analytical mindset

Position 2: Administrative Assistant
Job Requirements / Required Qualifications
- TVET Level III or IV or V in Secretarial Science, Office Management, Accounting/Bookkeeping, Business Administration, Information Technology, or related fields
- Proficiency in using Microsoft office packages such as MsWord, MsExcel and so on.
- Ability to type at least 30 words per minute.
- Relevant work experience in an administrative or office assistant role is an advantage
- Good command of written and verbal communication in English and Amharic.
- Familiarity with basic accounting principles and local tax regulations. Experience with accounting software (like Peachtree/Sage or QuickBooks) is a significant plus.
- Strong computer skills, especially MS Word, Excel, and email applications
- Good communication and interpersonal skills
- Ability to organize tasks, manage time, and meet deadlines
- High level of honesty, responsibility, and attention to detail
- Ability to work independently and as part of a team.
The Administrative Assistant will be mainly responsible for providing day-to-day administrative support, maintaining financial and all other office records, supporting staff, managing petty cash fund, disbursing payments when approved by general manager, maintaining record of attendance of staff and field workers, and ensuring smooth office operations of ICOS Consulting and its sister companies. The specific duties include, but are not limited to, the following:
- Provide general administrative and clerical support
- Handle office correspondence, including emails, letters, and phone calls
- Prepare, organize, and maintain files, documents, and records (both hard and soft copies)
- Assist in scheduling meetings, preparing agendas, and taking minutes
- Support procurement and inventory management of office supplies
- Maintain proper filing systems and ensure document confidentiality
- Assist in data entry, report preparation, and basic documentation
- Support finance and HR units with routine administrative tasks
- Ensure the office environment is organized and functional
- Maintain records of attendance of fulltime and part time field workers deployed by ICOS Consulting or its sister companies.
- Prepare payroll for ICOS consulting staff and staff of sister companies considering attendance, penalties, deductions and so on.
- Manage front-desk activities, including receiving visitors and handling incoming calls for the group of companies.
- Organize and maintain physical and digital filing systems for various business entities.
- Draft official letters, memos, and reports in both English and Amharic languages.
- Coordinate schedules, meetings, and travel arrangements for management.
- Manage office supplies inventory and handle procurement requests.
- Prepare and process basic financial documents (invoices, receipts, and payment vouchers).
- Maintain the Petty Cash fund, ensuring all disbursements are documented and reconciled.
- Follow up on accounts receivable and communicate with clients regarding outstanding payments.
- Support the senior accountant during year-end audits or group-wide financial re
- File/Declare value added tax (VAT) and all other statutory payments (e.g., VAT, TOT, or Pension) on time and as required by the government.
- Pay taxes and all other statutory payments, request and obtain tax clearance, renew business and other licenses and do related tasks.
- Perform other related duties as assigned by the supervisor.
Must be willing and able to work consistently at our office currently located around Ayat Roundabout or any other location in Addis Ababa.
